Updates to support key legislative changes and faster administration with Xemplo 3.17

Get ready for more insights about key team and HR activities with Xemplo's latest HR release (3.17). Changes to the Fair Work Act from 26 August 2024

The Fair Work Legislation Amendment (Closing Loopholes No. 2) Act 2024 (Cth) (Closing Loopholes No.2) introduced several reforms that take effect from 26 August 2024, including:

Casual Employment changes
Independent Contractor changes
Right to Disconnect

The Xemplo legal team have also made changes to key clauses used for casual and independent contractor templates as a result of changes to the Fair Work Act effective from 26 August 2024.

Xemplo users who have created contracts using impacted clauses will receive an in-app notification to advise of the change and accept these updates.

Distribute documents to all workers at once

Company Administrators and HR Managers can now send a compliance document to all workers, or all existing workers in select positions, saving time spent sending compliance documents to existing workers one-by-one.

To send a document to all workers in a company, a Company Administrator can now add or edit an existing document and opt to 'Attach to all positions' and send to all existing workers. Sending a document to all existing workers will automatically send the document to all existing, active workers to review, acknowledge and/or sign, depending on document setup.

Additionally, an HR Manager can now also add a document to an existing position and opt for all workers already placed in the position to be sent the document immediately to review, acknowledge and/or sign, depending on document setup.

Send documents in bulk from Company Settings or Positions

Expanding access to VEVO Checking for all Australian companies

From early September, all Australian Xemplo customers can optionally activate the Xemplo VEVO Checking service which will check a worker's eligibility to work in Australia using the Visa Entitlement Verification Online (VEVO) service offered by the Department of Home Affairs (DHA).

VEVO Checking involves securely sending a limited amount of personal information for a worker to the DHA to establish the worker's legal rights to work. The DHA will securely return Work Rights information for a requested Worker to Xemplo for HR to review and action.

Submit unit-based transactions with HR Time & Attendance

Xemplo HR Time & Attendance now supports entry of unit-based transactions - for example, reimbursement of fixed-rate items like kilometres or allowances like meals - entered into a timesheet via the Xemplo web or mobile apps.

Once entered, unit-based transactions are sent to a worker's Team Manager, the Team Manager of a department, or an authorised HR Manager for approval before being processed in payroll (where a payroll integration is in place).

Keep up-to-date with the latest Xemplo announcements and alerts directly in your Xemplo software from 3.17. The new Xemplo Resource Centre, available from the '?' symbol in the top right hand corner of the web application screen for all Administrators and Managers, gives your team quick access to Xemplo alerts (for example, service impacts) and announcements (for example, new features and service updates).

All changes included in Xemplo 3.17 Release

The following list details all changes included in the 3.17 software release. Find out more about each change by selecting the link, including user impacts and configuration instructions (where applicable).

Compliance	Documents	Documents sent to a worker during a document or position update are now signed by the Company Administrator or HR Manager making the update (if a Manager signature is required for the document). Documents can now be sent to all workers in a position when the position is updated to include new document requirements. Documents can now be sent to all workers in all position when a document is added or updated in the Company Documents library.
Compliance	Work Rights	The VEVO Checking Service has has minor visual updates.
Compliance	Training	Various enhancements have been added to the Training Report, including terminology updates.
Platform	System Administration	Alerts, announcements and quick access to Xemplo resources is now available in-app.
Platform	User Management	An issue impacting permissions configuration for Managers in a company has been corrected.
Pre-Employment	Onboarding	An issue preventing HR Managers from completing the final review of an Onboarding with specific configuration has been corrected. An issue impacting bank code validation for NZ companies has been corrected. The Onboarding log has been updated to show correctly formatted dates for Sent and Status updates.
Requests & Approvals	Time & Attendance	An issue entering breaks after the timesheet line has been saved has been corrected. Unit-based transactions can now be entered in HR Time & Attendance. Unit-based transactions can now be exported to KeyPay from HR Time & Attendance. An issue exporting breaks for approved time activity to KeyPay has been corrected.
Worker Management	Workers	An HR Manager can now update a worker's last name without having to fill out other required fields.

Xemplo Expert Library - fresh contracts, policies and courses added!

We are thrilled to announce the latest additions to the Xemplo Expert library: Workplace Health and Safety courses for customers in Australia.

What is Xemplo Expert?

Xemplo Expert is a library of HR compliance assets, created and maintained by our team of HR and legal experts. Content from the Xemplo Expert library is available for all customers to use as part of their Xemplo subscription.
