Xemplo 3.35 delivers a series of enhancements focused on simplifying complex assignment features, strengthening onboarding workflows, and expanding our support for US and international features.
This update introduces improvements that make bill data clearer, more intuitive, and easier to reconcile - particularly for users managing high-volume or multi-scenario billing arrangements. Onboarding has been refined to improve usability, enhance compliance controls, and ensure critical worker information is captured accurately and efficiently across jurisdictions.
With expanded support for US requirements alongside our existing multi-country framework, Xemplo 3.35 further strengthens our global capability while delivering a smoother, more consistent end-to-end user experience.

We’re pleased to announce that our platform now supports the secure recording of US Social Security Numbers (SSNs) and US work rights documentation.
As part of our continued international expansion, we’ve enhanced our data model and user interface to accommodate US-specific employment requirements. This update includes dedicated fields for SSNs, structured capture of US work eligibility evidence, and jurisdiction-appropriate terminology to ensure clarity and compliance. All sensitive information is protected with enhanced security controls in line with our data protection standards.

We’ve improved the way visa verification is managed in the platform. Previously, VEVO checks were performed once at the time the original travel document was saved. With this update, a VEVO check will now be automatically triggered every time the associated travel document is updated, ensuring work rights information remains accurate and up to date, in addition to automated checking every 30 days. This includes when travel documents are updated:
During Onboarding, by a worker or an HR Manager
When a work right is updated or added for a worker, either by the worker or an authorised HR Manager.
In addition, the Work Rights entry screen has been updated to improve usability and simplify entry of required information. These enhancements reduces compliance risk and provides greater confidence that visa status changes are identified promptly. Find out more about Work Rights here.
All changes included in Xemplo 3.35 Release
The following list details all changes included in the 3.35 software release. Find out more about each change by selecting the link, including user impacts and configuration instructions (where applicable).
| Product | Feature | Summary |
| Bill | Analytics | We’ve expanded the Analytics dataset to include assignment rate change history, making it easier to report on how rates evolve over time. This gives Analytics users greater visibility into historical rate adjustments and supports more detailed financial and operational reporting. |
| Bill | Assignments | The Assignment Report now includes the Location field from assignments. This enhancement, requested by many of our users, makes it easier to segment and analyse assignments by location directly within reporting. |
| Bill | On Costs | We’ve enhanced the on-cost configuration screen to make creating and editing advanced formulas easier. Longer formulas are now simpler to view in full and update, addressing user feedback around usability when working with more complex calculations. |
| Bill | Assignments | Assignment Specifications have been enhanced to retain historical documents. Previously, only the most recent specification was saved per assignment. Users can now access both current and past specification documents directly from the Documents tab within Assignments, making it easier to reference changes over time. |
| Bill | Assignments | To prevent workflow conflicts, we’ve restricted changes to timesheet approval methods when there are timesheets already in a submitted state. This ensures approval processes remain consistent and avoids issues caused by mid-stream configuration changes. |
| Bill | Reporting | The Timesheet Report now includes new Submitted, Approved, and Verified columns. These additions provide clearer visibility into when key timesheet milestones were completed and by whom, helping users track progress and improve auditability. |
| Bill | Invoices | We’ve resolved an issue where downloaded invoices were defaulting to the filename download.pdf. Invoices will now automatically download using their invoice number, making files easier to identify and manage. |
| Bill | Contract Placements | A System Administrator can now configure Service Agreements to be optional by default. This feature is available for pilot customers using the Contract Placements feature only. |
| Bill | Contract Placements | A System Administrator can now configure Xemplo to create new Onboarding records generated from a placement in 'Draft' status by default. This will mean an HR Manager will need to review the Onboarding before sending to the worker. This feature is available for pilot customers using the Contract Placements feature only. |
| Bill | Bullhorn Integration | The 'Has Service Agreement' toggle in Bullhorn is now disabled by default. |
| Bill | On Costs | Changes earlier introduced to the Live Margin Report have been applied to the On Cost Report logic as well as earlier reports. |
| Bill | Adhoc Transactions | When creating an ad-hoc transaction, a user can now enter a 0 value for pay or charge. They cannot enter a 0 value for both. This feature is available for pilot customers using the Adhoc Transactions feature only. |
| Bill | Adhoc Transactions | When creating an ad-hoc transaction, users from the Agency company (client users) who have Administrator rights can now be selected as the 'Submitted By' user. This feature is available for pilot customers using the Adhoc Transactions feature only. |
| Bill | Bullhorn Integration | The Bullhorn calculator has been updated to include the superannuation amount when calculating the total cost so that it is incorporated into the calculated charge rate. |
| Onboarding | HR Review | When reviewing work rights information supplied by a worker, the HR reviewer could not provide feedback and send this back to the worker. This has been corrected. |
| Onboarding | Worker Onboarding | When submitting an Onboarding, the worker will not have to complete SMS verification before submission as they would have completed two-factor authentication prior to starting the Onboarding process. |
| Onboarding | UK Tax Information | The name of the HRMC declaration included in Onboarding for workers in UK companies has been changed to 'New Starter Checklist'. |
| Onboarding | HR Review | When reviewing superannuation information supplied by a worker, the HR reviewer can now edit this information and provide feedback if required. |
| Onboarding | Contracts | When creating Onboarding from some third-party external systems, the contract would not display correctly when merge fields were mapped incorrectly. This has been corrected. |
| Onboarding | Worker Onboarding | There was an issue impacting selection of countries other than Australia and New Zealand when entering work rights information for workers in Australian companies. This has been corrected. |
| Onboarding | Work Rights | Xemplo will now repeat the VEVO Check for any work rights that have been updated, including changes to country of passport. |
| Onboarding | Work Rights | The Work Rights user interface has been updated for improved usability. |
| Platform | User Management | User accounts with the HR Manager role will now not have access to update Positions by default. The option to update positions can be added to an HR Manager account using the 'Set Permissions' field. All previously activated HR Manager accounts have the permissions to update Positions active, meaning no loss of functionality for existing users. |
| Platform | API Library | The Get Worker API has been updated to include Emergency Contact Details for the selected worker. |
| Platform | User Management | There was an issue when changing the email address of a user is an account with the same email address previously existed. This has been corrected. |
| Platform | API Library | A new API for retrieving details of active workflows has been added. The API is Get Workflows. |
| Platform | API Library | The Get Worker API has been updated to include Department ID for the selected worker. |
| Platform | API Library | The Get Credentials for Worker API has been updated to return file information for a selected Credential. |
| Platform | User Management | The user interface for managing user accounts has been updated for usability. |
| System Administration | Companies | The ability to inactivate a company has been restricted if there are still active worker records in the company. Additionally, new workers cannot be added to an inactive company. To inactivate a company, all workers must be inactivated prior. |
| Worker Management | Workers | A Social Security Number can now be recorded for all workers in US companies. |
| Worker Management | Workers | When adding work rights for workers in US companies, US work right types will be shown. See Functional Guides > Work Rights for more information. |
