Spotlight on security and training with Xemplo 3.15

Our latest Xemplo HR release (3.15) expands our library of HR reports to make tracking key information for your workforce easier than ever. From leave balances and reporting leave that matches your desired criteria to credentials and training data in your preferred format, it's now even easier to use Xemplo HR to track the compliance of your workforce without manually compiling reports. 

Automated email alerts for bank and superannuation updates

Xemplo has introduced automated email alerts for workers and payroll teams when worker bank and superannuation information is updated. Now, when a worker’s bank or superannuation details are changed, the worker and nominated payroll contact will receive an automated notification advising of a change.

This important feature helps prevent payment redirection scams, an increasingly common payroll data threat costing companies in Australia over $220 million in 2023 alone (ACCC, 2023).

Please note:

  • Automated emails for bank and superannuation changes are an important security protection feature and cannot be disabled.
  • Emails sent include information about who to contact in the event of an issue - to update the contact information for your company, update the HR Contact details in your Company Settings (Company Details > Company Contacts).

Use Training courses for Inductions

We’ve updated our Training feature to allow courses built using the Xemplo Course Builder to be used during Onboarding. This means that a course can be used for both Induction training and ongoing training for your workforce, unlocking the opportunity to repeat training activities throughout the worker lifecycle, and track all training activity for a worker, including training courses completed during Onboarding, in one place. 

Please note:

  • These changes are activated for existing Xemplo clients on request. If you would like to use this feature, please contact Customer Support.

  • Induction courses created using the Induction course builder will still be available to use for Onboarding.
  • However, if you want to use an Induction course for both Onboarding and later training, you will need to move this course from the Induction course library to the main training course library. 

Now, when creating a new course, or updating an existing course in your training library, you can set whether this course will be included in Onboarding using the 'Use this course for Onboarding' flag.

When the course is added to a position:

  • Any workers Onboarding into this position will need to complete the training activity before they can finish and submit their onboarding.
  • Any workers who are transferred into this position without completing an Onboarding will be automatically enrolled in the course and be prompted to complete the training activity before the applicable due date (if one is set).

Xemplo Expert Library - fresh contracts, policies and courses added!

We are thrilled to announce the latest additions to the Xemplo Expert library: Hazardous Manual Tasks. This course provides comprehensive training in hazardous manual tasks, focusing on pushing, pulling, and lifting techniques in accordance with Australian Work Health and Safety (WHS) standards.

What is Xemplo Expert?

Xemplo Expert is a library of HR compliance assets, created and maintained by our team of HR and legal experts. Content from the Xemplo Expert library is available for all customers to use as part of their Xemplo subscription.

Changes this month

Xemplo have added a new Hazardous Manual Tasks course to the Xemplo course library. These courses are free for all Xemplo customers using Xemplo Training.

Compliance Training

Training courses from the Xemplo Training library can now be used for Inductions during Onboarding.

To activate this feature, contact Customer Support. 

Background Checks MVSI integration is now available for countries in all locations (previously only available in Australia). 
Platform System Administration Minor improvements to the user experience during Login/Logout.
API Library Additional details have been added to the GET WORKER API
Pre-employment Onboarding Minor improvements to the visual display of guidance clauses when creating contracts during Onboarding.
Minor improvements to the visual display of personal details in Onboarding.
Worker management Notes When viewing notes, some would display with HTML formatting in the tooltips and without specific text formatting applied. This has been updated. 
Workers When superannuation or banking information for a worker is updated, automated notification emails will be sent to the worker and payroll to advise of the change. 
Additional details have been added to the Worker Export report.
There was an issue impacting saving changes when superannuation preferences were updated from Own super to Employer default. This has been corrected.
