Our latest version includes updates to several key features designed to make setting up Xemplo to automatically manage Worker Compliance even easier.
Included in this release:
- Simpler position creation and management - it's now even easier to setup your position library, with a more intuitive user experience and simpler tools for creating new positions in a few easy steps.
- Set usage rules for documents and credentials - get more control over how documents and credentials (formerly known as licences) are used, including the ability to assign to all workers and positions at once from company settings.
- Easily create Worker Questions to simplify company-specific onboarding tasks - enhance your existing library of company-specific questions used in onboarding to assign to all positions and workers at once, generate reports and send follow-up tasks to required users whenever questions are answered.
- Access all worker files in one place - you can now see all documents related to a worker from one place in their worker profile, saving you time and effort.
Key Features and Benefits
Simpler position creation and management
Creating new or editing existing positions has a brand-new look and user experience. From more easily viewing and searching your position directory, to creating a new position in just a few clicks, you can now quickly setup up a position library to automate compliance activities for your whole workforce.
New look Position Directory and Position Management
Find the right position in your library more quickly from the updated Position Directory, now updated so you can find exactly what you're looking for faster. Quickly search, filter and sort the list of positions, and scan the key details without opening each record individually.
Once you've found the right position record, or if you need to create a new one, updates are even easier with a new-look positions screen where all information has been reorganised for maximum efficiency. Whether you're updating one thing or everything, you can quickly make changes and save without moving between multiple steps. You can collapse and expand sections to better focus on what's important to you. We'll also guide you to complete a position more quickly with on-screen feedback about outstanding items you still need to finish.
Quickly and easily create new positions
You can now quickly create new positions in just a few clicks. Creating a new position from scratch is even easier with pre-populated default credentials, documents and worker questions added automatically on creation. You can also easily cut and paste requirements for a position from outside Xemplo, or choose from our library of pre-defined requirements for many common roles when you want to.
If you already have a similar position in your company, quickly duplicate this position from the list with one click. Your new position will be added to the list immediately so you can easily open and update any required details.
You can also save partially completed positions to complete later - your Position Directory will display which positions are ready for onboarding, and which need extra attention before you can start adding workers.
Viewing all current and past workers employed in a position is now simpler, with a complete list of all workers available from the Workers tab of a position. Filter and search the list to find the required worker records, and go straight to their profile if required.
Any positions created in Xemplo before this release will still be available to view from the new Position Directory. Find out more about Positions here.
Set usage rules for documents and credentials
With Xemplo V3.2, you can now setup documents and credentials (previously called Licences in Company Settings) to automatically request workers complete required compliance activities without having to manually assign to positions or workers.
We've also revamped the look and user experience of creating documents and credentials to make setup and updates quicker to complete.
Assigning documents to all workers and positions at once
You can now update your documents library to assign required documents to all positions in your company at once from Company Settings > Documents. Add new documents to all existing and future positions, or archive old documents when they're no longer needed, all in just a few clicks. You can also 'lock' required documents so they can't be removed from an individual position, giving you complete control over which documents must be read by all new workers.
Your existing documents can be updated to apply to all positions without removing these from positions first. To attach a document to all positions, simply update the document in the library and Xemplo will update each position record automatically.
Assigning credentials to all workers and positions at once
You can now update your credentials library to assign required credentials to all positions in your company at once from Company Settings > Credentials. Add new credentials to all existing and future positions, or archive old documents when they're no longer needed, all in just a few clicks. Similarly to documents, 'lock' required credentials so they can't be removed from an individual positions for complete control over which credentials must be provided by all new workers before they start work.
When you add a new credential or update an existing credential in your library, you'll also get to choose whether you want to request these credentials from existing workers, with all requests sent automatically as soon as you save.
Your existing credentials can be updated to apply to all positions without removing these from positions first. To attach a credential to all positions, simply update the credential in the library and Xemplo will update each position record automatically.

Simplify company-specific onboarding tasks with Worker Questions
Worker Questions (formerly know as Onboarding Questions) allow you to create a library of company-specific questions that can be asked to workers during onboarding. We've enhanced this feature to bring you more of the features you've asked us for, as well as ways to automatically assign questions to all workers and positions at once.
Assigning Worker Questions to all workers and positions at once
You can now create a library of questions and assign them to all positions in your company at once from Company Settings > Worker Questions. Assigning a group of questions to all positions means that all workers will be asked these questions when they onboard, automatically.
Reporting on and assigning responses for Worker Questions
You now have more flexibility to manage the answers that are provide by workers when they onboard. Answers can be extracted as a .CSV download, or you can assign a group of questions to a specific owner, who will be notified as soon as a worker responds. Automate activities like notifying required internal stakeholders (for example, IT) that a new starter is joining your business, what they need, and when.

Access all worker files in one place
You can now see all files related to a selected worker from the Worker Profile screen . Previously, accessing documents for a worker required going to several locations (for example, their onboarding record or to view licences). Now, you can save time and easily find everything you need in one place.
From the 'Files' Tab on the Worker Profile screen, you can access:

Employment contracts

Letters
-
Policy documents
-
Any files uploaded directly to the worker profile.
