When setting up an Agency you can add your own invoice, and customise Xemplo's default template, or skip these two and use the default one.
Here we'll focus on how to create a custom invoice template and upload it in Xemplo. The custom invoice template will be used when you create Agency to Host invoices and what your host client will receive when you send it via email.
How to Create Custom Invoice Template
Step 1. Log in as an Administrator in Xemplo.
Step 2. Click the Settings (Administrator) menu in the right side menu.
Step 3. Click System Settings.
Step 4. Look for the Invoice Template name in the list:
There are two options when creating your custom invoice template:
Customise Xemplo Default Invoice Template
Step 1. Click the option menu (...), then select Download.
Step 2. Open the downloaded invoice template on your computer and make the necessary changes.
Important: Please refer to this article for the relevant merge fields you can use when customising the fields in the invoice template. |
If you need to use more bank details on your template, ensure it is defined as merge fields and bank details are added in the agency settings when re-uploading your template.
Step 3. Save the changes.
Upload Your Own Invoice Template
Step 1. Click the option menu (...), and select Edit.
Step 2. A pop-up window will appear. Delete the existing template.
Step 3. Click Browse and upload the invoice template from your computer.
Step 4. Click Save.
How to Upload Custom Invoice Template
You can upload your custom invoice template in two ways:
- Use the steps above to upload the invoice template in system settings, or
- Upload it directly to the Agency company timesheet
Note: Uploading it in the system settings will only affect the administrator invoice template. No changes to the invoices of the companies or agencies on the account. Unless it is uploaded manually to the specific agency. |
Upload It Directly to Agency Company Timesheet
Step 1. Go to Companies as an Administrator.
Step 2. Search the agency you want to manage, on the dashboard click Timesheets.
Step 3. Click on the Change Settings link.
Step 4. Go to Invoicing issuer and Invoice Template Settings section, and toggle Yes to edit and customise the Global Invoice Template.
Step 5. Click Upload Custom Template.
Step 6. Browse the customised invoice template on your computer and click Open.
Step 7. Click Save.
