Employ: Company Administrator Guide

What the Company Administrator role does in Employ - from Position setup through to full visibility of every worker’s record.

Your role in Employ

As Company Administrator, you have full configuration access for your company and full access to every worker’s record. You build the foundation Employ runs on - Positions, Contract templates, Department/Site structure - and you manage the HR Managers and Team Managers who use Employ day-to-day. Unlike the Super Administrator, your access to worker records within your company is full access, not view-only, because day-to-day record ownership sits with you and your HR team.

Setting up the foundation

  • Define Positions and attach Requirements, Employment Conditions, Credentials, Documents, Training and Work Rights to each one
  • Configure Contract templates in the Contract Builder for each employment/engagement type
  • Set up Department and Site structure to reflect your organisation
  • Configure Background Check provider/process and attach it to relevant Positions
  • Build out Courses for ongoing and induction Training
  • Configure company-level Letters, Documents and Additional Questions

Managing users

  • Create accounts for HR Managers, Team Managers, Recruiters and Timesheet Approvers
  • Assign Team Manager access scoped to the right Department/Site so their visibility matches their actual team
  • You can manage all user accounts in your company except Super Administrator accounts

Day-to-day oversight

You have full access to every worker’s Background Checks, Contracts, Credentials, Leave, Files, Notes, Onboarding, Payroll information, Performance, Positions, Tasks, Terminations, Time and Attendance, Training and Work Rights - broader than any other role except Super Administrator (who is view-only on Contracts, Background Checks and Payroll information). In practice, most day-to-day record management is delegated to HR Managers, with you monitoring overall compliance and stepping in on exceptions.

Step-by-step: Build a Position

  • Go to Positions and create a new Position
  • Add Requirements (skills and responsibilities for the role)
  • Attach Employment Conditions - the contract and award used to employ this role
  • Add Credentials, Documents, Training and Work Rights requirements
  • Assign the Department and Site
  • Save - this Position is now ready to be assigned to any worker

Step-by-step: Configure a Contract template

  • Open the Contract Builder
  • Select a base template matching the employment/engagement type
  • Configure pay, hours and entitlement clauses
  • Link the template to the relevant Position(s)
  • If a template genuinely can’t represent an agreement, import a custom contract instead

Step-by-step: Scope a Team Manager’s access

  • Open the user’s account and assign the Team Manager role
  • Confirm their Department/Site assignment matches the team they actually manage
  • Remember: Team Managers can only see worker information for people who report to them, or in a department they’re responsible for
