What the Super Administrator role does in Employ, and where it hands off to Company Administrators and HR Managers.
Your role in Employ
As Super Administrator, you have full platform configuration access across every company in your Xemplo instance. For Employ specifically, your role is to build the global foundation - templates and system settings - that Company Administrators and HR Managers then use to manage worker records day-to-day. You intentionally have limited (mostly view-only) access to individual workers’ contracts, payroll information and background checks, since day-to-day worker management belongs to the company.
What only you can do
Activate Employ and its features for a company (Product Activation)
Manage other Super Administrator accounts
Configure Global Message Templates, Global Documents, Global Letters and Global Credentials - the templates Company Administrators draw on when building Position-level requirements
Access the Xemplo API Library and configure System Settings
What you share with Company Administrators
Managing user accounts (except other Super Administrators)
Because you operate across every company in the instance, your access to individual worker records is narrower than a Company Administrator’s or HR Manager’s by design:
Background Checks, Contracts and Payroll information: view only
Files, Notes, Onboarding, Performance, Positions, Tasks, Terminations, Time and Attendance, Training and Work Rights: full access
Leave: view only at the worker level (full access to company Leave configuration)
Step-by-step: Activating Employ for a new company
Navigate to Global Configuration → Product Activation
Select the company and enable Employ
Confirm Xemplo Connect is enabled if the company needs integrations feeding worker data in (e.g. an HRIS or payroll system)
Hand off to the Company Administrator to begin Position and Contract template setup
Step-by-step: Setting up global templates
Go to Global Configuration → Global Documents / Global Letters / Global Credentials
Upload the master templates that should be available to every company (e.g. standard policy documents, credential definitions)
Set Global Message Templates for system-level notifications
Company Administrators will reference these when building company-specific Positions and Compliance Rules
Step-by-step: Creating admin accounts
Go to user management and create the account
Assign the Company Administrator or HR Manager role as appropriate
Note: only Super Administrators can create other Super Administrator accounts

Where to get help: For day-to-day worker record management, point HR Managers to the HR Manager guide and Company Administrators to the Company Administrator guide - your role is foundation and platform config, not day-to-day worker management.
