Onboarding: Company Administrator Guide

What the Company Administrator role does in Onboard - from foundation setup through to full visibility of every worker’s record.

Your role in Onboard

As Company Administrator, you have full configuration access for your company. You build the foundation Onboard runs on - Positions, Compliance Rules, Contract templates - and you manage the HR Managers, Recruiters and Team Managers who use Onboard day-to-day. Unlike the Super Administrator, your access to worker records within your company is full access, not view-only, because day-to-day onboarding ownership sits with you and your HR team.

Setting up the foundation

  • Define Positions and the Compliance Rules attached to each one (documents, credentials, training, background checks)
  • Configure Contract templates for each employment/engagement type
  • Set up Credentials definitions and Background Check provider/process
  • Build out Courses for induction Training
  • Configure Onboarding, Tasks, Documents and Message Templates at the company level

Managing users

  • Create accounts for HR Managers, Recruiters, Team Managers and Timesheet Approvers
  • Assign Manager access rights to whoever needs to act as Signing Manager - this is required before they can review and sign contracts
  • You can manage all user accounts in your company except Super Administrator accounts

Day-to-day oversight

You have full access to every worker’s Onboarding, Background Checks, Contracts, Credentials, Files, Notes, Payroll information, Performance, Positions, Tasks, Terminations, Time and Attendance, Training and Work Rights records - broader than any other role except Super Administrator. In practice, most day-to-day onboarding review is delegated to HR Managers, with you monitoring overall progress and stepping in on exceptions.

Step-by-step: Build a Position with Compliance Rules

  • Go to Positions and create a new Position
  • Attach the relevant Contract template
  • Add Compliance Rules: required documents, credentials, training modules and background checks for that Position
  • Save - this Position is now ready to be selected whenever HR creates an onboarding

Step-by-step: Set up Background Checks

  • Go to Company Settings → Background Checks
  • Configure your provider/process
  • Attach the Background Check requirement to the relevant Compliance Rule(s)

Step-by-step: Assign Signing Manager access

  • Open the user’s account
  • Grant Manager access rights
  • Confirm they appear as an available Signing Manager option when an onboarding is created

Where to get help: For step-by-step worker onboarding tasks, hand this off to your HR Managers using the HR Manager guide - your focus is the setup and oversight layer underneath it.
