Employ: Hints and Tips

Practical guidance gathered from real Employ rollouts - organised by where you are in the process.

Setup

  • Positions drive compliance automation. Define Requirements, Credentials, Documents, Training and Work Rights on the Position before placing workers - retrofitting this per worker is far slower than getting it right once.
  • Department and Site structure should mirror your real org chart before you assign Team Managers - their visibility is scoped to it.
  • Build Contract templates in the Contract Builder once per employment type. Only import custom contracts where the builder genuinely can’t represent the agreement.
  • Confirm Global Letters, Documents and Credentials templates are in place before company-level configuration begins - Company Administrators draw on these.

Creating and Maintaining Worker Records

  • The Employee vs. Independent Contractor toggle is set when the worker record is created and affects payroll and billing downstream - get it right up front rather than correcting it later.
  • Mobile number and email drive account activation and 2FA - exactly as in Onboard, a typo here is the single biggest cause of worker login issues.
  • Reassigning a worker’s manager changes more than the reporting line - it can affect leave and timesheet approval chains. Check downstream impact before reassigning.
  • Department and Site assignment determines what a Team Manager can see for that worker - review it whenever a worker moves teams.

Compliance Activity Dashboard

  • Review the dashboard on a schedule - weekly is a reasonable cadence for most companies - rather than waiting for a worker or client to flag something.
  • “Expiring Soon” gives you a window to act. Don’t wait until an item shows as “Expired” - by then a credential, contract or work right may already be non-compliant.
  • “Unread” letters and documents need active follow-up. Visibility in the system isn’t the same as a worker having actually opened and acknowledged them.
  • Use the download/report function per category when you need to report compliance status to a client or for an internal audit.

Contracts

  • A contract sitting at “Waiting for Signature” for more than a few days is worth a direct nudge to the worker - it doesn’t resolve itself.
  • When a contract is renewed, confirm the new contract supersedes the old one cleanly rather than leaving two active records for the same worker.
  • If you’re importing a custom contract, double-check it’s linked to the right worker and Position - imported contracts don’t inherit Position defaults automatically.

Troubleshooting

  • Worker can’t see an expected Credential or Training requirement? Check their assigned Position - requirements are inherited from there, not set per worker.
  • Team Manager can’t see a worker they should be able to? Check that worker’s Department/Site and manager assignment.
  • Compliance Activity alert won’t clear after action is taken? Confirm the underlying record (credential upload, signed contract, etc.) was actually saved, not just started.
  • Worker’s payroll info looks wrong downstream in Pay? Check it was entered correctly in the Employ worker profile first - Pay reads from this record.
Rule of thumb: If something in Employ feels out of date, the cause is almost always a Position, Department/Site, or manager assignment that hasn’t been kept current - check there before assuming a system issue.
