The Workers List page is provided with filter options and bulk-selection options, allowing you to generate and process changes for a list of specific worker records that match key criteria.

Access to Worker Filters Option
Log in to Xemplo.
Click the Workers in the navigation menu.

Use the Search Worker field to look up workers.
Types of Filters
There are two types of filters:
Basic Filters
You can use identifiers to pull up worker records. Basic filters include:
Company (when logged in as an Super Administrator only) - a dropdown menu that allows a user to select a specific company.
Worker Identifier – a text entry option that allows users to search for workers by their name, their reference ID, or their email address.
Worker Status – a dropdown option allowing users to filter the list to include enabled, disabled, or all workers.
How to Search Workers Using Basic Filters
When logged in as a Super Administrator, you can filter the worker list by Company. This filter makes it easier to locate and manage workers when multiple company entities are configured within Xemplo.
To quickly locate a worker, use the available worker identifier in the search field. You can search using:
- Worker name
- Email address
- Reference ID
You can also use the Status filter to control which workers are displayed. The available options are:
- Active Workers – displays active workers only.
- All Workers – displays all workers, including active and terminated workers.
- Terminated Workers – displays terminated workers only.
Advanced Filters
The Advanced Filters option allows you to refine your worker search and display records that match specific criteria. You can add multiple criteria to create a more refined search and quickly locate the relevant worker records.
Criteria Available
Refer to the list below for the available criteria in the Advanced Filters option. You can combine multiple criteria to further refine their search results.
Selecting Worker Records
You can select specific worker records or all records returned in your search results. Records can be selected either individually or in bulk.
Individual Selection
To select an individual worker:
- Locate the desired worker in the search results.
- Click the worker record from the list to select it.
Bulk Selection
Click the Select all [number of] workers link at the top of the page.
| Note: The number shown represents the total number of workers that match the selected search criteria. Bulk selection includes all records returned in the current search, not just the records displayed on the first page. |
You can’t deselect individual worker records when using bulk selection. Click Deselect all to clear the selection before selecting an individual worker or a different group of worker records to manage.
Send Letter, Policy or Assign Course actions
Once you’ve selected the desired worker records from the Worker List, you can perform processing actions on all selected records in bulk.
The available processing actions are:
- Send
- Letter
- Policy
- Assign Course
Send Letters
Click Send, then Letter from the top of the Worker List.
Select the required letter template, then click Next.
Provide the necessary information required for the select Letter template. Once completed, click Send Letters to send the letter to the selected workers.
Send Policy
Click Send, then Policy from the top of the Worker List.
Select the required document template, then click Next.
Click Send Policy to send the document to the selected workers.
Assign Course
Select the workers you want to enrol and click Assign Course.
Select the course you want to assign to the selected workers, then click Send Course.
Click Send Course again in this confirmation screen.
Download a Worker's Information
The user while logged in as HR Manager or Admin Manager can also download key information for the selected worker/s using the Download option.

Credentials
Work History
Work Rights
Leave Balances
After applying the required filters and selecting the relevant worker records, click Download Reports.
Select the report type from the dropdown list.
Select the report format, then click Download Report to begin the download.
Manage Columns
Managed Columns allows you to customise the Worker List by adding or removing column headers. This lets you control which worker information is displayed and tailor the list to your preferred view.
Resetting Advanced Filters
Clicking the Clear filter option will clear out all filters and criteria selected and will refresh the worker list to all active workers in the company.
