The Hire Administrator is responsible for configuring and managing the recruitment environment within Xemplo Hire. This role has full access to company settings and all areas of the platform, ensuring the hiring process is well-organised and consistent.
As a Hire Administrator, you can:
Design and manage reusable hiring pipelines.
Create and manage email templates, and determine the stages at which messages are automatically sent to candidates.
Build and maintain a library of interview guides and pre-screening questions for more efficient candidate assessment.
Assigning Hire Administrator access
Company Administrators and HR Managers of a company with Hire activated will automatically gain access to Hire administration features described below.
To include a user in the Hiring process (i.e. as a Hiring panellist or collaborator in a recruitment activity) without providing access to configure settings or access other administrative features, assign the Recruiter role to their user profile.

Hire Administrators can complete the following setup and maintenance tasks:
- Connecting to Job Boards
- Managing Company Settings
- Managing Email Templates

- Managing Interview Templates
- Managing the Hiring Pipeline Library
1. Connecting to Job Boards
Simply go to the Job Boards menu and select Subscribe to Job Board to get started. Once connected, you can manage your postings and track applications directly within Xemplo Hire, making your recruitment process faster and more efficient.

2. Managing Company Settings
To begin setting up your Xemplo Hire site, navigate to Company Settings. From this section, you can customise key details that define your organisation’s profile and recruitment environment.
Here, you can:
Upload or update your company logo
Set your preferred currency
Specify the countries your hiring operations cover
3. Managing Email Templates
Use the Email Template tab to create and manage the emails you want candidates to receive throughout the hiring process. These emails are automatically triggered as applicants progress through your hiring pipeline—for example, when they are shortlisted, invited to an interview, or moved to the next stage.

4. Managing Screening Questions
Screening questions help you assess candidates early in the recruitment process. You can add them to individual jobs while creating a job ad, tailoring the questions to each role.
Each question can be marked as mandatory if needed, ensuring candidates provide the information essential for your assessment.
These questions appear to applicants when they first apply, helping you quickly identify those who meet your key criteria.
5. Managing Interview Templates
Interview templates let you set up standard questions and formats for interviews. They help ensure every candidate is assessed consistently and make it easier for interviewers to take notes.

6. Managing the Hiring Pipeline Library
The Hiring Pipeline is where you define the steps an applicant will go through for a particular job. You can customise each stage of the process, include the email templates you’ve created, and specify who should receive notifications when a candidate moves to a new stage.
