The foundation of Xemplo Performance is Review Types. Every Performance Review is linked to a review type, providing a simple way to view all history for an individual for a specific type of review, and analyse individual, team and company-wide results for each type of review you create.
Once review types are set up, Performance Review participants and HR Managers can set the following preferences:
- While completing a review, any participant or an HR Manager can access and view all previous reviews of the same type - for example, while completing a 'Quarterly Performance Review', each participant can see all previously completed Quarterly Performance Reviews.
- When viewing results of a Performance Review, any participant or an HR Manager can view score progression over time for all reviews of the same type - for example, while viewing results of a 'Quarterly Performance Review', each participant can see the individual's rating for previous Quarterly Performance Reviews and how their performance is improving or declining on a timeline.
- When viewing results of a Performance Review, any participant or an HR Manager can view score progression over time for all reviews of the same type - for example, while viewing results of a 'Quarterly Performance Review', each participant can see the individual's rating for previous Quarterly Performance Reviews and how their performance is improving or declining on a timeline.
- When viewing performance outcomes and trends for a team or company, an HR Manager can filter results by review type - for example, an HR Manager can analyse all activity related to the specific review type 'Quarterly Performance Reviews'.
Default Review Types
When activated, Xemplo includes default review types that you can use as is, change, or deactivate if not required. Default review types include:

Viewing Review Types
To see all review types in your company setup, go to Company Settings > Performance. Here you'll find a list of all review types already created, with the option to edit any existing review types or add new ones if needed.
Review types can be managed by a Company Administrator.
Managing Review Types
Adding a review type
To add a new review type:
- Go to Company Settings > Performance.
- Select the New (+) option at the top of the Review Types list.
- Add a name for the review type - this will show in the list of review types available when an HR Manager adds a new Performance Review for an individual/group.
- Add Instructions - these are shown to the worker and reviewer when completing a review assigned to them.
- Set which Areas of Review you want to include in this type of Performance Review - you can choose from:
- Responsibilities - when selected, a Performance Review of this type will include an evaluation of individual performance for each responsibility linked to their position.
- Skills - when selected, a Performance Review of this type will include an evaluation of individual performance for each skill linked to their position.
- Self-evaluation - when selected, both the subject of the review and the reviewer will be asked to complete the Performance Review. When not selected, the review will be sent to the reviewer only.
- Set Visibility rules for this review type. These rules define who can see responses provided as part of a Performance Review, and when. You can optionally set:
- Reviewer can view Worker’s submitted responses before completion - when selected, the reviewer will be able to see the subject's responses as they are added to the review and before the review is submitted. If not selected, the reviewer will not be able to see the subject's responses until both parties have submitted their portion of the review.
- Worker can view Reviewer's submitted responses before completion - when selected, the subject will be able to see their reviewer's responses as they are added to the review and before the review is submitted. If not selected, the subject will not be able to see the reviewer's responses until both parties have submitted their portion of the review.
- HR to Finalise - when selected, any Performance Review of this type will need to be reviewed by an HR Manager who will mark it complete or request any amendments.
- Save the review type.
Editing a review type
You can edit a review type to change any previously defined rules. To edit an existing review type:
- Select the Review Type from the list.
- Update required settings (see list above) before selecting Save.
Please note: Changes to review type settings will apply to future reviews only. Past reviews or reviews currently in progress will not be updated. |
Deactivating a review type
If you no longer wish to use a review type, you can deactivate it, which will remove it from the list of available review types when creating new Performance Reviews. All history associated with a review type will still be stored and visible to a Company Administrator.
To deactivate an existing review type:
- From the list of review types, select Deactivate from the menu on the right-hand side for the review type you wish to deactivate.
Please note: Deactivating a review type will remove this type from use for future reviews only. Past reviews or reviews currently in progress will not be deleted or cancelled. |
Defining Review Types
Once review types are defined, you can create Performance Reviews for your team based on a specific review type. When creating a Performance Review based on a defined type, Xemplo will automatically populate all sections of the Performance Review for an individual based on your configured rules and the worker's position.
You can create an unlimited number of review types that define:
- The activities included in a review - you can optionally include and measure individual performance for the following activities in a review:
- Responsibilities associated with their position;
- Skills associated with their position, and;
- Custom performance measures specific to your business. *coming soon
- Whether a Performance Review includes a self-evaluation by the individual or is completed by a reviewer only.
- Visibility rules, such as when the individual worker and reviewer can view each other's responses.
- Whether this review requires an HR Manager to finalise the review.
