About the feature
The new file upload feature in Xemplo makes it easy to attach and store documents directly within an Assignment. Users can upload any relevant files - such as third-party contracts, SOPs, or work instructions - ensuring all assignment-related information is kept in one secure, accessible location.
By centralizing files within the platform, teams can reduce reliance on local hard drives or separate cloud storage services, streamlining collaboration and improving document management. Files uploaded to Assignments are tied directly to the relevant worker and engagement, making it simple to find and reference them whenever needed.
Files are only accessible by Administrator users - they are not exposed to the worker.
Who can use this feature?
This feature is available for Agency Companies and can be accessed by users with Administrator roles.
Getting started
Uploading files
Navigate to the Documents tab of the Assignment and select the Files sub-tab.
Click the Upload File button to open the upload modal.
Enter a title for your file. This can be different from the original filename to help maintain clear naming conventions.

Upload your file by either:
Clicking the Browse button to select a file from your computer, or
Dragging the file into the designated area in the modal.
Accepted file types: PDF, PNG, JPG, JPEG
Maximum file size: 5MB per file
Click Save. The modal will close, and your file will appear in the file list.
Viewing files
From the Files sub-tab, you can see a list of all previously uploaded files for the Assignment. To view a file, simply click on the file row or, from the options menu for the row, click View.
PDF files open in a full document preview window, allowing you to scroll through and read the document.
Image files (PNG, JPG, JPEG) open in an image preview dialog for quick viewing.
This makes it easy to access and reference your uploaded files without needing to download them.
Downloading files
From the Files sub-tab, locate the file you want to download.
Click the options menu (represented by three dots) next to the file.
Select Download. The file will be downloaded to your computer.
Editing files
From the Files sub-tab, locate the file you want to edit.
Click the options menu (three dots) next to the file and select Edit.
In the field provided, update the file title as needed.
Click Save to apply your changes.
Note: You can only edit the file title. To replace the file itself, you must first delete the existing file and then upload the new version.
Deleting files
From the Files sub-tab, locate the file you want to delete.
Click the options menu (three dots) next to the file and select Delete.
A warning will appear to confirm that you want to delete the file. Review the message carefully.
Click Confirm to delete the file.
Warning: Once a file is deleted, it cannot be recovered.
